Supervision and Insurance Compliance Protocol

Establishes the mandatory supervision and insurance verification requirements for all Land & Legacy programs involving minors, partner farms, and schools.

Purpose

To ensure all Land & Legacy educational activities maintain rigorous safety and insurance standards, mitigating legal risk when engaging with minors and partner farms.

Scope

This policy applies to all staff, educators, and contractors responsible for the planning and delivery of onsite agricultural programs.

Policy Statement

No Land & Legacy activity involving minors or third-party partner farms may proceed without documented confirmation that supervision ratios are met and relevant insurance coverage is active and verified.

Responsibilities

  • Program Leads: Must perform the site walkthrough and verify insurance documentation prior to program commencement.
  • Administrative Staff: Responsible for recording and closing the 'C5_supervision_protocols' check in the internal registry system.

Procedure

  1. Prior to any site visit, the assigned lead must perform an end-to-end flow test of the site readiness checklist.
  2. Verify that the supervision ratios are in accordance with the agreed-upon safety plan.
  3. Obtain and verify current certificates of currency for insurance from the partner farm or school site.
  4. Once verified, the staff member must sign off on the 'C5_supervision_protocols' task in the management dashboard to transition the status from 'error' to 'completed'.

Breaches & Escalation

Failure to complete the C5 protocol prior to the commencement of an activity is a high-severity compliance breach. Any incident occurring while this task remains 'unassessed' will result in immediate internal review and suspension of site activities.

Review

This policy is subject to annual review or following any major update to agricultural safety standards.
